GENERAL TERMS AND CONDITIONS
BOOKING OF EXHIBITION STAND AND PARTICIPATING AS EXHIBITOR AT TEMA RENRUM 2025
1 GENERAL
These general terms and conditions (the “Terms“) apply to the booking of an Exhibition Stand (“Stand”), and participation for representatives, at Tema Renrum 2025 on 25-26th of November 2025 (“TR”) which RentForum i Norden AB, with registered cooperate Id number 556806-9677 and registered address at Norrbäcksgatan 19, 216 24 Malmö, Sweden (“Rentforum“) is arranging at Scandic Infra City, Upplands Väsby, Sweden. Information about TR will be provided on Rentforum.se (“the “Site”).
These Terms shall apply between Rentforum and the Exhibiting Company (the “Exhibitor“) when booking a Stand at TR, and registering representatives that will participate at TR. These Terms together with (i) the Terms of Use which apply to the End-User’s (as defined below) participation at TR on November 25-26th 2025; (ii) the Practical details regarding the exhibition 2025 found on the Site; (iii) order confirmation(s) for the Stand and extra representatives that has been sent to the Exhibitor; set out the terms and conditions on which Renforum will provide booking of Stand at TR, participation and access to Stand for representatives at TR, to the Exhibitor and End-Users (as defined below). These Terms and the Terms of Use are hereinafter referred to as the “Agreement“.
By accepting this Agreement, you warrant that you have the authority to enter into the Agreement for the Exhibitor which you represent.
2 Booking of Stand at TR
2.1 Booking
In order to exhibit at TR, the Exhibitor is required to book a Stand. A Stand is booked by accepting an Offer sent from Rentforum, and the booking of a stand is completed after the Exhibitor via email receives an Order confirmation stating the booking.
The size and placing of the Stand are stated in the offer and order confirmation, but may differ from the actual size and placing if; (i) Scandic Infra City has provided Rentforum with the wrong dimensions for the floor plan; (ii) Rentforum adds or reduces the amount of Stands in the exhibition and need to change the numbering of the stands; (iii) Rentforum accidentally give the wrong information; (iiii) governmental recommendations or regulations requires more space between the Stands.
For a representative from the Exhibitor to attend TR, the Exhibitor needs to book a Personal Exhibitor Ticket and register the representative with name and email address. The registration of a representative is not complete until an order confirmation is received stating the booking and Rentforum has received the name and email address of the representative.
The Exhibitor needs to register and pay for any personnel present at TR, and shall be entitled to register the number of representatives as the Exhibitor deems necessary to fulfil the Exhibitor needs.
The Exhibitor shall register one (1) person per Personal Exhibitor Ticket who will represent the Exhibitor in the Stand at TR.
Each individual representative, who has been registered to TR by the Exhibitor, will be deemed to be an “End-User” in this Agreement.
Booking of a Stand at TR, as well as the registration of End-User(s), is binding, which means that the booking of a Stand (and registration of End-Users) is non-refundable.
The Exhibitor is not permitted to allow End-Users to share its access to TR with other people during TR, i.e., one (1) End-User may never be more than one (1) individual. Any sharing or replacing End-User without written permission from Rentforum will be considered as a material breach of this Agreement and shall entitle Rentforum to terminate this Agreement in accordance with Section 13, or charge the Exhibitor for the number of individuals from the Exhibitor that had been present at TR exceeding the registered End-Users, according to the price list presented in the initial offer.
The Exhibitor agrees to: (a) provide accurate, current, and complete information about the Exhibitor as may be prompted by Rentforum via email (“Registration Data“); (b) maintain and promptly update the Registration Data, and any other information the Exhibitor provides to Rentforum, to keep it accurate, current, and complete; and (c) accept all risks of unauthorized access to the Registration Data and any other information the Exhibitor provides to Rentforum.

2.2 Prices and payment
2.2.1 Fees
All fees are presented in SEK excluding VAT, if not explicitly stated otherwise.
The exhibition fee is stated in the offer sent to the Exhibitor, of which the Exhibitor has agreed on, and thereafter received an order confirmation for.
Ordinary exhibition fee for a Stand at TR on November 25-26th 2025 includes, if not explicitly stated otherwise:
One (1) Stand at TR
One (1) End-User (Personal Exhibitor Ticket)
The fee for extra End-Users (Personal Exhibitor Tickets) is SEK 6 500:- excl. VAT per individual, and will be added to the order confirmation and thereafter the invoice. The Exhibitor registers extra End-User(s) to TR by either sending an email to Rentforum to receive an offer and (or) order confirmation, or register the representatives directly via the Form on the Site (Practical Information page). The Exhibitor is responsible to provide Rentforum the name(s) and email address(es) for End-User(s) to Rentforum, at latest on October 26th (if no other agreement has been made between both parties).
No walls or other furnishing are included in the Stand, except of what is stated in the offer.
The cost for handling of goods is not included, read more in the “Practical Details for the Exhibition” that will be sent out prior TR.
Accommodation during TR is not included in any fees and should be arranged by the Exhibitor if needed.
The Exhibitor will be responsible for any additional fees or costs for any extra furniture/services etc. that is not stated in the offer, if not otherwise agreed in writing.
2.2.2 Discount
Buy 3 – Pay for 2 applies for extra Personal Exhibitor Tickets, i.e. excluding the Personal Exhibitor Ticket included in the stand price, which means that no participation fee is charged for every third extra Personal Exhibitor Ticket that the Exhibitor book prior October 25th 2025 .
A discount on the Stand fee is applied if the Exhibitor is advertising on Rentforum.se’s suppliers list “Marknaden” during the dates on which TR 2025 is arranged, if not otherwise agreed in writing.
2.2.3 Change of End-User
A change of End-User(s) (e.g. due to sick leave, terminated employment, etc.) is only possible prior to November 25th 2025, and can be done by sending an email to Rentforum with the new End-User(s) and receiving an confirmation of the change. Any change of End-User between 25-26th of November 2025 will include a administrative fee of SEK 500:- per End-User, if not otherwise agreed in writing.
2.2.4 Billing
All fees are invoiced upon booking (at earliest September 1st 2025), according to payment terms stated on the order confirmation(s).
2.2.5 Refunds
The Exhibitor will not receive any refund after June 30th 2025 of any paid or invoiced fees, if the Exhibitor decides to not participate, or if any End-User from the Exhibitor does not participate at TR, nor if the End-User only participates on parts of TR. See 12.2 (“Termination”) for more information regarding cancellation.
3 ACCESS TO TR
TR is a closed event, which means that only registered paying End-Users from the Exhibitor and paying ordinary participants are allowed access to TR.
The End-User will be provided access to TR and the Stand at TR on November 25-26th 2025 according to the schedule found on the Site, and access on November 25th 2025 for build-up of the Stand according to the practical information on the Site, sent out prior the event. The Exhibitor will only be provided access to TR on November 25-26th 2025 for End-Users of which the Exhibitor has registered and paid for. The Exhibitor may use other personnel from the Exhibitor to build up the Stand on November 24th 2025, or disassembly of the Stand after TR has ended on November 26th, at no extra cost by notifying Rentforum in advance, and received a written confirmation.
A registered End-User will have the same access to TR as an ordinary participant, please see the Site for more information on what is included.
The Exhibitor is responsible for making sure that the End-Users read and understand the Terms of Use, in order to participate at TR.
Access to TR is provided “as is.” Rentforum makes no representations or warranties of any kind, whether express, implied, statutory, or otherwise regarding the access to, including any warranty that access TR will be uninterrupted, error free or free of harmful components, or that any content or possessions will be secure or not otherwise lost or damaged. The Exhibitor is solely responsible for their belongings (in the Stand and elsewhere) at TR, and therefore responsible to have a relevant insurance.
Except to the extent prohibited by law, Rentforum disclaims all warranties, including any implied warranties of merchantability, satisfactory quality, fitness for a particular purpose, non-infringement, or quiet enjoyment, and any warranties arising out of any course of dealing or usage of trade.
5 SUSPENSION OF THE EXHIBITION and PARTICIPATION AT TR
5.1 Suspension
Rentforum may suspend the Exhibitor’s or End-User’s right to access TR immediately if Rentforum determines:
(a) that Exhibitor or an End User’s use of or registration for TR (i) poses a security risk to Rentforum, Rentforum’s suppliers, the TR-event or any third party, (ii) may adversely impact the content of TR, (iii) may subject Rentforum or Rentforum’s suppliers or any third party to liability, (iv) may be fraudulent or (v) Rentforum has reason to believe that an End-User has shared the right to participate at TR between employees or third parties;
(b) the Exhibitor or any End User is in breach of this Agreement, including if the Exhibitor is delay with its payment obligations for more than 15 days; or
(c) the Exhibitor has ceased to operate in the ordinary course, made an assignment for the benefit of creditors or similar disposition of the Exhibitor’s assets, or become the subject of any bankruptcy, reorganization, liquidation, dissolution, or similar proceeding.
Further, if Rentforum becomes aware of any violation of the Exhibitor’s or an End-User’s obligations under this Agreement, Rentforum is entitled to immediately suspend access to TR, without incurring any liability.
5.2 Effect of Suspension of Access to TR
If Rentforum suspends the Exhibitor’s or an End-User’s right to access TR, the Exhibitor shall remain responsible for all fees and charges which the Exhibitor has incurred through the date of suspension and shall remain responsible for any applicable fees and charges for any registered End-Users to which the Exhibitor continues to have access.
Rentforum’s right to suspend the Exhibitor or any End User’s right to access TR is in addition to Rentforum’s right to terminate this Agreement pursuant to Section 13.2.
6 FEEDBACK
If the Exhibitor provides Rentforum with feedback or ideas regarding TR or other aspects of Rentforum operations, the Exhibitor understands that Rentforum may use the information provided without any obligation to compensate the Exhibitor for them. The Exhibitor grant Rentforum a non-exclusive, worldwide, royalty-free, sublicensable, transferable, irrevocable, perpetual license to use, modify, adapt, publish, perform, or derive new works from the feedback as Rentforum choose.
7 INTELLECTUAL PROPERTY RIGHTS
The Site and TR may be protected by copyright laws and other intellectual property rights. Any such intellectual property rights remain Rentforum’s property or the property of Rentforum’s licensors or licensees. All trademarks, service marks, trade names, and trade dress are owned by Rentforum and/or Rentforum’s licensors (as the case may be). Rentforum or Rentforum’s licensors reserves all right, title, and interest in and at TR.
The Exhibitor may not, and undertakes to ensure that End-Users do not, copy, alter, distribute, display, license, modify or reproduce, reverse assemble, reverse compile (whether digitally, electronically, by linking, or in hard copy or by any means whatsoever) or use any of intellectual property provided at TR without having entered into an agreement with Rentforum or Rentforum’s licensors regulating the right to use such rights, or as may be entitled to under applicable legislation.
Infringement may result in charge and claim for damages.
8 INDEMNIFICATION
The Exhibitor will defend, indemnify, and hold harmless Rentforum and its licensors, and each of their respective employees, officers, directors, and representatives from and against any claims, damages, losses, liabilities, costs, and expenses (including reasonable attorneys’ fees) arising out of or relating to any third party claim concerning: (i) the Exhibitor’s or any End-User’s participation at TR; (ii) breach of this Agreement or violation of applicable law or regulation by the Exhibitor or any End-User.
9 LIABILITY
The Exhibitor shall ensure that any End-User shall comply with the terms of this Agreement to the extent that the provision applies to the End-User and shall be liable for the acts and/or omissions and the fulfilment of obligations of any End-User to the extent not fulfilled by such End-User.
The Exhibitor is deemed to acknowledge that the allocation of risk in this Agreement reflects the amount paid to Rentforum for participation at TR and that it is not within Rentforum’s control as to how, and for what purposes, the participation on TR is used by the Exhibitor and its End-Users. In no event, therefore, will neither Rentforum nor Rentforum’s suppliers or licensors be liable to the Exhibitor for any direct, indirect, incidental, special, consequential, or exemplary damages (including damages for loss of profits, goodwill, use, or data), even if a party has been advised of the possibility of such damages, however caused.
Further, neither Rentforum nor Rentforum’s suppliers or licensors will be responsible for any compensation, reimbursement, or damages arising in connection with: (i) the Exhibitor’s inability to participate at TR, including as a result of any termination or suspension of this Agreement or the Exhibitor’s or End-User’s participation at TR; (ii) the cost of procurement of substitute goods or services; (iii) any investments, expenditures, or commitments made by the Exhibitor in connection with this Agreement or the Exhibitor’s or End-User’s participation at TR; (iv) any unauthorized access to, alteration of, or the deletion, destruction, damage, loss or failure to store any of the Exhibitor’s or End-User’s content or other data.
If any exclusion, disclaimer, or other provision contained in this Agreement is held to be invalid for any reason by a court of competent jurisdiction and Rentforum or Rentforum’s suppliers or licensors becomes liable thereby for loss or damage that could otherwise be limited, such liability will not exceed the amount actually paid by the Exhibitor.
10 FORCE MAJEURE
Rentforum will not be liable for any delay or failure to perform any obligation under this Agreement where the delay or failure results from any cause beyond Rentforum’s reasonable control, including acts of God, labour disputes or other industrial disturbances, systemic electrical, telecommunications, or other utility failures, earthquake, storms or other elements of nature, blockages, embargoes, riots, acts, or orders of government, acts of terrorism, or war.
11 MISCELLANEOUS
11.1 Notices
Rentforum may provide any notice to the Exhibitor under this Agreement by: (i) posting a notice on the Site; (ii) sending a message to the email address associated with the Exhibitor’s booking of Stand at TR; (iii) sending a message to the email address associated with the End-User(s).
The Exhibitor may provide any notice to Rentforum under this Agreement by sending a message to info@rentforum.se.
11.2 Entire agreement
This Agreement is the entire agreement between the parties regarding the subject matter of this Agreement. This Agreement supersedes all prior or contemporaneous representations, understandings, agreements, or communications between the parties, whether written or verbal, regarding the subject matter of this Agreement.
11.3 Modifications
Rentforum shall be entitled to modify this Agreement by posting a revised version of this Agreement on the Site or by otherwise notifying the Exhibitor or End-User. The modified terms will become effective as stated in the posting or in the email message, 7 days after notifying the Exhibitor or End-User. By participating at TR after the effective date of any modifications to this Agreement, the Exhibitor agrees to be bound by the modified terms.
11.4 Assignment
The Exhibitor may not assign or transfer its rights and obligations under this Agreement without Rentforum’s prior written consent.
11.5 No Waivers
The failure by either party to enforce any provision of this Agreement or rights provide for by law will not constitute a present or future waiver of such provision nor limit a party’s right to enforce such provision at a later time.
11.6 Severability
If any portion of this Agreement is held to be invalid or unenforceable, the remaining portions of this Agreement will remain in full force and effect. Any invalid or unenforceable portions will be interpreted to effect and intent of the original portion. If such construction is not possible, the invalid or unenforceable portion will be severed from this Agreement but the rest of the Agreement will remain in full force and effect.
12 TERM AND TERMINATION
12.1 Term
The term of this Agreement will commence on the date on which the Exhibitor has accepted this Agreement by accepting the offer for a Stand and End-Users, and receiving the order confirmation for the accepted offer, and will remain in effect until terminated by the Exhibitor or Rentforum in accordance with Section 12.2.
12.2 Termination
12.2.1 Termination for Convenience
Rentforum may terminate this Agreement after mutual written consent from both parties.
The Exhibitor may terminate this Agreement prior 30th June 2025, by sending a termination request to info@rentforum.se and receiving a confirmation of the termination.
12.2.2 Termination for Cause
Either party may terminate this Agreement for cause immediately if there is any material default or breach of this Agreement by the other party, unless the defaulting party has cured the material default or breach within a 10 day notice period.
Rentforum may also terminate this Agreement immediately to the Exhibitor:
(a) if any act or omission by the Exhibitor or any End-User results in a suspension described in Section 4;
(b) if Rentforum consider that information or other claims provided by the Exhibitor or any of its End-User can be perceived false and/or misleading
(c) if Rentforum’s relationship with a third party partner who provides the venue where Rentforum arrange TR expires, terminates or requires Rentforum to change the way Rentforum provides TR and administration related thereto;
(d) if Rentforum believes providing TR could create a substantial economic or technical burden or material security risk for Rentforum or any of its suppliers;
(e) in order to comply with the law or requests of governmental entities; or
(f) if Rentforum determines that TR has become impractical or unfeasible for any legal or regulatory reason;
(g) if any governmental or other restrictions or recommendations will force Rentforum to reduce the amount of Exhibitor stands or attendees
(h) if Rentforum determines to not arranged TR.
12.3 Effect of Termination
Upon any termination of this Agreement all of the Exhibitor’s and End-Users’ rights under this Agreement will immediately terminate and the Exhibitor will remain responsible for all fees and charges which the Exhibitor has incurred up until the date of termination.
13 GOVERNING LAW AND DISPUTE RESOLUTION
13.1 Governing law
(a) This Agreement shall be governed by and construed in accordance with the substantive laws of Sweden.
(b) The United Nations Convention for the International Sale of Goods 1980 (CISG) shall in no event apply to this Agreement.
13.2 Submission to jurisdiction
(a) In the event of any dispute, controversy or claim arising out of or in connection with this Agreement (each a “Dispute“), or the breach, termination or invalidity thereof, the parties shall aim to settle the dispute amicably through negotiations. If the parties have not been able to settle the dispute through such negotiations within 3 months following notice from a party to enter into such negotiations, the Dispute shall be finally settled by arbitration in accordance with the Rules for Expedited Arbitrations of the Arbitration Institute of the Stockholm Chamber of Commerce (“SCC“), unless the SCC in its discretion determines, taking into account the complexity of the case, the amount in dispute and other circumstances, that the Arbitration Rules shall apply. In the latter case, the SCC shall also decide whether the Arbitral Tribunal shall be composed of 1 or 3 arbitrators.
(b) The place of arbitration shall be Stockholm, Sweden, where the award shall be made, and the proceedings shall be conducted in the Swedish language.

TERMS OF USE FOR END-USER
1 Terms of Use
Your employer (the “Exhibitor”) and Rentforum AB (“Rentforum“) have entered into an agreement regarding participation at Tema Renrum 2025 November 25-26th 2025 (“TR“), which is arranged at Scandic Infra City. These terms of use (the “ToU“) form part of such agreement, and regulate how you may access and participate at TR. Information about TR will be provided on Rentforum.se (the “Site“).

2 Access to TR
TR is a closed event, which means that only registered and paying End-Users from the Exhibitor and paying ordinary participants are allowed access to TR.
As End-User you will be provided access to TR and the Stand at TR on November 25-26th of 2025 according to the program found on the Site, and access to the exhibition area on November 24th 2025 for build-up of the Stand according to the practical information sent out prior the event.
You will only have access to TR on November 25-26th 2025 if the Exhibitor has registered you as an End-User and you have received a confirmation of your registration.
You alone have the right to participate at TR when registered, and you may not share your access to TR with any other person. Any such sharing will constitute a breach of these ToU and will entitle Rentforum to terminate your access to TR.
As and End-User you will have the same access to TR as an ordinary participant, please see the Site for more information on what is included.
3 Content of TR
You should be aware that Rentforum is not responsible for the completeness or accuracy of anything presented at TR, or for the results obtained by using what is learned through your participation at TR. Always check the original publications, books, guidelines, and standards as of which are referred to during TR.
4 Feedback
If you provide Rentforum with feedback or ideas regarding TR or other aspects of Rentforum operations, you understand that Rentforum may use the information provided without any obligation to compensate you for them. You grant Rentforum a non-exclusive, worldwide, royalty-free, sublicensable, transferable, irrevocable, perpetual license to use, modify, adapt, publish, perform, or derive new works from the feedback as Rentforum choose.
5 Suspension to the participation at TR
Rentforum may suspend your right to access TR immediately upon notice to you if Rentforum determines:
(a) that your participation at TR of or registration for TR (i) poses a security risk to Rentforum, Rentforum’s suppliers, TR or any third party, (ii) may subject Rentforum or Rentforum’s suppliers or any third party to liability, (iv) may be fraudulent, or (v) Rentforum has reason to believe that access to TR is being shared with another employee or any other individual; or
(b) you are in breach of these ToU.
If Rentforum becomes aware of any violation of your obligations under these ToU, Rentforum is entitled to immediately suspend your right to access TR.
6 Intellectual Property Rights
TR may be protected by copyright laws and other intellectual property rights. Any such intellectual property rights remain Rentforum’s property or the property of Rentforum’s licensors or licensees. All trademarks, service marks, trade names, and trade dress are owned by Rentforum and/or Rentforum’s licensors (as the case may be). Rentforum or Rentforum’s suppliers reserves all right, title, and interest in and to TR.
You may not copy, alter, distribute, display, license, modify or reproduce, reverse assemble, reverse compile (whether digitally, electronically, by linking, or in hard copy or by any means whatsoever) or use any of intellectual property contained at TR without having entered into an agreement with Rentforum or Rentforum’s licensors regulating the right to use such rights, or as may be entitled to under applicable legislation.
7 Miscellaneous
Rentforum shall be entitled to modify these ToU by posting a revised version of these ToU on the Site, or notifying you via your provided e-mail address. The modified ToU will become effective 7 (seven) days after being stated in the posting or in the email message. By participating at TR after the effective date of any modifications to these ToU, you agree to be bound by the modified ToU.
